How to use the Revert Period function

The Revert Period function allows you to reopen a closed payroll period to make corrections. It can only be done once per period. After making the necessary corrections, the payroll can be recalculated and closed again. This is usually used when anomalies are found, such as missing or incorrect payroll items or when new recruit or leaver’s record was not updated on time.

When a revert is performed:
  • The system can only reopen the immediately previous closed payroll period;
  • The previous payroll period becomes active again;
  • Payroll data from the closed month is restored;
  • Changes made in the current period may be reset.

How to perform revert period when no payroll updates are made in the next payroll period

In the illustration below, the August 2025 payroll has already been closed, but the employees’ commissions were omitted. A revert period can be performed to add the missing commissions, after which the payroll can be recalculated and closed again.

To perform the revert period, follow the steps below:

  • 1. Go to Payroll - Monthly Procedures

  • 2. Click on Payroll Calculation

  • 3.Click on the Revert Period icon.

Note : A warning message is displayed and requires your full attention, as it contains information and implications concerning the revert, related to the following:

  • –>Changes done in the current period
  • –>Transactions for future periods
  • –>Transactions of previous periods
  • To understand what HRMS will do when the August 2025 payroll is closed and no changes have been made in September 2025, refer to the warning message section TRANSACTIONS OF PREVIOUS PERIOD (August 2025)
  • 4. Click Confirm.

Wait for the Revert process to complete.

  • 5. Click Ok

  • An Excel file is automatically downloaded to the Downloads folder for information purposes and requires no action. The file contains recurring monthly transactions(e.g. refund public bus, meal allowance, etc.).

  • 6. Insert and Save the omitted Commissions in Payroll –> Monthly Procedures–> Payments & Deductions.

  • 7. Perform August 2025 payroll calculation.

  • 8. Click Close Payroll to perform August 2025 payroll closure.

  • 9. Click Close Payroll

  • 10. Click Confirm

  • 11. Click OK

Payroll closure for August 2025 has been successfully completed, and payroll is now in September 2025.
