How to send payslip via Email

Prerequisites

  • Email Configuration: Your IT team must configure the email settings before the email functionality can be used.

  • Personal Payslip Email : Employees must have a valid email address recorded in their employee profile to receive payslips by email.

  • Payslip Password: Before sending payslip by email to employees, the Payroll Admin must generate payslip password. To generate payslip password , refer to the link below:

How to send Payslip via Email

  • To Send the Payslip via Email, using the same criteria as illustrated previously, use the steps below
  • 1 Choose or insert the necessary criteria as illustrated below:
  • In the Year/Period section, select :
  • (A) Pay year 2025
  • (B) Pay period M8 August
  • In the Company/Dept/Sub-Dept section, select :
  • (C) Company General Co Ltd
  • To send the payslip via Email :
  • 2 Click Email

  • Wait until the sending email process is completed.

  • In the below illustration , an email has been sent successfully to one employee.

  • To ensure email has been sent successfully, refer to the HRMS Mail Monitoring functionality as shown below:

  • The illustration below shows the payslip as received in the employee's mailbox. The employee must click to open and view the email

  • 3 The employee must click the attached PDF file to view the payslip. The file is automatically saved to the Downloads folder.

  • 4 Payslip password is required.

  • 5 The Employee must insert Payslip password and click OK

  • 6 The Payslip is displayed as illustrated below.
