How to create a Task(Variable) User Report

The illustrations below explain how to create a Task (Variable) User Report in A4 Landcape format. The report will include the following columns:

Annual Leave Unit Day, Sick Leave Unit Day, Unauthorised Leave Unit Day, Overtime 1.5 Unit Value, Overtime 1.5 Task Rate, Overtime 1.5 Amount, Refund Public Bus Unit Value and Refund Meal Unit Value

To create the Task (Variable) User Report :

  • 1. Go to HRMS, click Tools

  • 2. Click Report Generator

  • On the Selection tab, the Payroll module is already selected, and in the Select an option section, Create from report template is already selected.

  • 3.In the Select a report section, click Task report template.

  • 4.On the Designer tab, in the Report section, the paper size A4 is already selected, next select Landscape from the Orientation dropdown list

  • First column to be added : Annual Leave Unit Day
  • 5.In the Column section, select Task from the Data Source dropdown list.

  • 6.In the Data Field dropdown list, Unit Day is already selected

  • 7.In the Column Header field, type the column header name Annual Leave Unit Day, the column header will appear automatically as shown in illustration A.

  • 8.Scroll down

  • 9A.In the Data section, the Tasks are displayed in ascending order by code.

  • 9B.Click the Sort option twice to arrange the Tasks in alphabetical order.

  • 9C. Click the task Annual Leave Ee to link in the column Annual Leave Unit Day.

  • 10.Second column to be added : Sick Leave Unit Day
  • On the toolbar, click Add Column (To add a next new column)

  • 11. Repeat steps 5 to 9C

  • 12.Third column to be added : Unauthorised leave Unit day
  • On the toolbar, click Add Column (To add a next new column)

  • 13.Repeat steps 5 to 9C

  • 14.Fourth column to be added : Overtime 1.5 Unit Value

On the toolbar, click Add Column (To add a next new column)

  • 15A.Scroll up to go to the Data Field Header and choose Unit Value from the dropdown list.

  • 15B.Type the column header name Overtime 1.5 Unit Value

  • 16.Scroll down

  • 17.In the Data section, click 32 Overtime 1.5 (To link the task to the new column)

  • 18.Fifth column to be added : Overtime 1.5 Task Rate

On the toolbar, click Add Column (To add a next new column)

  • 19.Scroll up to the Data Field Header and choose Task rate from the dropdown list.

  • 20.Type the column header name Overtime 1.5 Task Rate

  • 21.Scroll down

  • 22. In the Data section, click the orange Filter icon to reuse the same task selected for Overtime 1.5 Unit Value in the next column.

  • 23.In the Data section, click 32 Overtime 1.5(To link the tasks to the new column)

  • 24.Sixth column to be added : Overtime 1.5 Amount

On the toolbar, click Add Column (To add a next new column)

  • 25.Scroll up to go to the Data Field Header and choose Amount from the dropdown list.

  • 26.Type the column header name Overtime 1.5 Amount

  • 27.Scroll down

  • 28. In the Data section, click the orange Filter icon to reuse the same tasks selected for Overtime Task Rate in the next column.

  • 29.In the Data section, click 32 Overtime 1.5 (To link the tasks to the new column)

  • 30.Seventh column to be added : Refund Public Bus Unit Value
  • 31.Repeat steps 14 to 16
  • 32.In the Data section, click 42 Refund bus fare (To link the task to the new column)
  • 33.Eighth columns to be added : Refund Meal Unit Value
  • 34.Repeat steps 14 to 16
  • 35.In the Data section, click 45 Refund Meal (To link the task to the new column)

After all eight columns are added and configured, the Task User Report template appears as shown below.

  • 36.Click Save

  • 37.Insert Task Report as report name.
  • 38.Click Save
  • 39.After saving the report, HRMS Payroll automatically displays the report criteria screen, where you can view the report, export it (including as a password-protected file), save it as a PDF, reload the criteria, and use additional criteria.
